Choose workspace roles and resource access

Understand workspace roles and share a document, folder, or other resource with the right access.

Workspace and members

Workspace roles control who can administer the workspace. Access to a resource, such as a doc or folder, controls what someone can do with that item.

Before you start

You need Full access to a resource to change its sharing. Being a workspace Owner or Admin does not automatically give you access to every resource or private conversation.

Understand workspace roles

Role What it allows
Owner Workspace administration and ownership actions, including transferring ownership.
Admin Workspace administration, including invitations, team management, and single sign-on settings.
Member Workspace collaboration, including creating teams and creating resources where permitted.
Guest Access through resources shared directly with the guest; no general workspace collaboration rights.

Share a resource

  1. Open the resource.
  2. Select Share.
  3. Use Add people or teams… to find and select a person or team. If you can invite by email, the field reads Add people or teams, or invite by email….
  4. Open the access control beside that person or team.
  5. Choose Can view, Can comment, Can edit, or Full access.
Access What it allows
Can view Read the resource.
Can comment Read and add comments or messages.
Can edit Read, comment, and edit content.
Full access Edit content and manage access or delete the resource.

Adjust workspace access

  1. In Share, find Everyone in workspace.
  2. Open its access control, if the resource offers one.
  3. Choose an available access level. On a top-level resource, No access removes the direct workspace grant and stops access inherited from the workspace. Inside a folder, the folder’s access is the minimum; change the folder’s access to reduce it.

Good to know

Access can also come from a containing folder or a team. Removing a person’s or team’s direct grant does not remove access supplied by another route. The top-level Everyone in workspace control also changes inheritance, as described above. Workspace-wide access does not include guests.

Email invitations to a resource offer Can view, Can comment, and Can edit. Grant Full access directly to an existing person or team. See teams to manage a group together.
